Overview

Your property management system is the first thing to connect. It is where your listings and reservations come from, and every guest conversation in Conduit attaches to a reservation. Once connected, your properties and bookings sync across, contacts are created from reservations automatically, and your agent can answer using real booking details rather than generic information.

Setup steps

  1. Go to Settings > PMS under Channels and click Add PMS.
  2. Select your PMS provider and enter the credentials it needs. Each provider’s page below explains where to find them.
  3. Import your listings. They arrive as active, and your PMS-backed content appears under Agents > Knowledge once the sync completes.
If PMS is not visible under Settings, your workspace needs to be a Short Term Rental or Hotel type. Set the industry in the workspace’s company settings, or create a new workspace of that type.

Using Airbnb as your PMS

If you do not use a property management system and take your bookings through Airbnb, you can use Airbnb itself as your workspace’s primary PMS. Airbnb then supplies your listings and reservations as well as your guest messages, and contacts are created from Airbnb reservations in the same way. To use Airbnb as your PMS, select Airbnb from Add PMS, or choose Use Airbnb as your PMS under Settings > Airbnb under Channels. Airbnb connects through an authorization window rather than an account ID and API key, so you sign in to Airbnb and approve access for Conduit. See Connect Airbnb for both connection types.
Before you connect, open Airbnb in the same browser and check you are signed in to the host account you want to connect. Airbnb may reuse your active session and authorize that account without asking you to sign in again.
Keep in mind:
  • If Airbnb is your primary PMS, you cannot connect another PMS to the same workspace.
  • Using Airbnb as your PMS is different from connecting Airbnb alongside a PMS. If you already use a PMS, connect Airbnb directly from Settings > Airbnb under Channels instead. See the connection rules below and Does your PMS carry your OTA messaging?.
  • If you are unsure which setup fits your business, your onboarding specialist can help you decide before you connect.

Connection guides

Conduit connects to more than 20 property management systems. The guides below cover some commonly used ones. We document these specifically because many of our customers use them, but they are not the only systems we support. If your PMS is not listed here, go to Settings > PMS under Channels, click Add PMS, and search for it there. You can also reach out to your onboarding specialist, who will guide you through connecting it.

Schedule PMS Knowledge sync

After importing listings, turn on auto-sync to keep their PMS-backed Knowledge current:
  1. Open Knowledge from the Agents group in the workspace sidebar.
  2. Click Sources at the bottom of the Knowledge sidebar.
  3. Open your PMS source.
  4. Open the three-dot menu, choose Set auto-sync, then select Daily, Weekly, Every 2 weeks, or Monthly.
The schedule applies to the whole PMS integration. It refreshes Knowledge for listings already imported into Conduit. To find and import a property added to your PMS later, use Check for new listings from the same PMS source menu. Choosing a schedule does not run a sync immediately. Use Sync knowledge for an immediate refresh, and open Sync history to review past and upcoming syncs. See Auto-sync Knowledge Sources for status meanings, paused-sync recovery, and how to turn auto-sync off.

Connection rules

Conduit prevents connection combinations that could create duplicate guest conversations.
  • You can connect multiple PMS accounts when they use the same messaging setup. PMS providers that deliver guest messages cannot share a workspace with providers that only supply property and reservation data.
  • When you choose another PMS, incompatible providers are disabled. Use a separate workspace if you need both types.
  • If Airbnb is your primary property management connection, you cannot connect another PMS. See Using Airbnb as your PMS.
  • You can connect Airbnb directly alongside a PMS. If the PMS handles guest messages, those messages continue through the PMS. If it does not, Conduit can receive Airbnb messages directly and match them to PMS reservations. See Connect Airbnb for setup instructions.
If your workspace already has both PMS types, you can reconnect an existing account to refresh its credentials, but you cannot add another PMS until the conflict is resolved.

Messaging support by PMS

Conduit classifies each PMS connection by whether it sends guest messages to Conduit. This describes the Conduit integration, not every messaging feature the PMS vendor may offer. “Non-messaging” does not mean that guest messaging is unsupported in Conduit. It means messaging is not supported natively through that PMS connection. Conduit supports messaging for those PMS providers through auxiliary channel connections, such as direct Airbnb and Expedia connections. For example, Cloudbeds syncs Expedia reservations but does not send Expedia messages to Conduit. To receive those messages in the Conduit inbox, contact Conduit support to connect the Expedia properties directly. Expedia messaging uses a shared connection managed by Conduit, so there are no workspace credentials to enter. Connecting Expedia messaging to Conduit does not disconnect Expedia from Cloudbeds. Cloudbeds continues to manage inventory, rates, availability, and reservation sync. Only Expedia guest messaging is routed directly to Conduit. Do not keep messaging enabled through both Cloudbeds and Conduit, because the same conversation could arrive twice.

Frequently asked questions

Usually a few minutes. The import runs in the background, so you can carry on with other setup while it finishes. Larger portfolios take longer.
Your listings appear under Settings > Listings, and your PMS-backed content appears under Agents > Knowledge. If neither has appeared after a few minutes, check the credentials and reconnect.
Your property and reservation information present in your PMS comes across, but your standard operating procedures do not. We recommend adding your SOPs to Conduit as knowledge articles so your agent can work from them directly.
In one direction only. Notes written in your PMS come into Conduit and appear in the conversation, looking much like a message. Notes written in Conduit stay in Conduit and are not pushed back to your PMS.This is worth telling your team, because it is the most common surprise in the first few weeks. If a note needs to be seen by someone working in your PMS, it needs to be written there.
No. Listings are imported manually from Settings > Listings > Actions > Import listings, or with Check for new listings from your PMS source in Agents > Knowledge. New listings arrive as active, so set any you do not want the agent working on to inactive. See Listings and groups.
Yes, when they use the same messaging setup. A provider that delivers guest messages cannot share a workspace with one that only supplies property and reservation data, because that combination can create duplicate conversations.
It depends on your system. Some carry your OTA conversations as well as your bookings, and others carry bookings only. See Does your PMS carry your OTA messaging? before connecting any OTA channels.
Yes. You can reconnect an existing account to refresh its credentials without starting over. If your workspace has a PMS type conflict, you can still reconnect, but you cannot add another PMS until the conflict is resolved.
