# Listings and groups

> Import listings, control which are active, and group them so information can be scoped.

Your listings come across from your property management system, and groups are how you organise them so information can be applied to many properties at once instead of one at a time.

This page covers both.

## Where to find your listings

Go to **Settings > Listings**. You will see everything that came across from your property management system, not only the properties you are currently taking bookings for. Listings synced for the first time all appear under the active tab.

The listings are split into active and inactive, and that distinction affects both your agent and your bill.

## Active and inactive listings

Active means your AI agent will respond to guests at that property. It is also what you are billed for.

Inactive means the property is still in Conduit, still visible, but the agent will not respond there and it is not billed.

<Warning>
  Because active status drives both agent behaviour and billing, please check it after any change to your portfolio. A property left active after you stop managing it will continue to be billed.
</Warning>

## Adding new properties

When you add a property in your property management system, it does not appear in Conduit on its own. You need to bring it in.

<Steps>
  <Step title="Import the new listings">
    Go to **Settings > Listings > Actions > Import listings**.
  </Step>

  <Step title="Find them in the active tab">
    Anything new arrives as active, so your agent responds there and you are billed for these properties.
  </Step>

  <Step title="Turn off the ones you want">
    Click the three dots next to a listing and set it to **inactive**. Your agent will stop responding for that property, and you will no longer be billed for it. Listings already marked inactive stay inactive if you run the import again.
  </Step>
</Steps>

<Note>
  Importing is a manual step rather than an automatic sync, so new properties only come into Conduit when you choose to import them.
</Note>

## Removing properties

When you stop managing a property, go to **Settings > Listings**, click the three dots next to the listing, and set it to **inactive**.

That does two things. Your agent stops responding for that property, and the listing stops being billed.

## What groups are for

A group is a set of listings that share something. Grouping them together is particularly helpful for knowledge, because you can attach information to the group rather than to each property individually.

A knowledge entry can be scoped to a group. When a guest conversation has a reservation attached, Conduit searches the knowledge held against that listing, its units, its listing groups, and anything workspace-wide. Group-scoped knowledge is never used for listings outside that group, while workspace-wide knowledge still applies everywhere.

## When to create a group

Create a group where a set of listings genuinely shares information. Two common examples:

* Several units in one building that share an entry code, a lobby, or parking arrangements.
* A set of properties in one town that share local recommendations, policies, or a cleaning team.

If all of your property information already lives in your property management system and applies per property, you may not need groups at all.

To create one, go to **Settings > Groups**.

<Tip>
  Groups are set up by hand, and your onboarding contact can help you decide which ones you need. It is easier to add groups later than to remove ones you did not need.
</Tip>

## Frequently asked questions

<AccordionGroup>
  <Accordion title="I have properties in several different towns. Should I group by area?">
    Usually yes, if the information differs by area. Grouping by area means a guest staying in one town does not receive another town's local recommendations or policies.
  </Accordion>

  <Accordion title="Will Conduit work out the groups from my addresses?">
    No. Groups are created by hand. This is deliberate, because the right grouping depends on what information you actually share rather than on geography alone. Your onboarding contact will help you work out which ones to create.
  </Accordion>

  <Accordion title="Do new listings appear automatically when I add a property to my PMS?">
    No. Go to **Settings > Listings > Actions > Import listings** to bring them in. They arrive as active, so your agent will start responding there and they will be billed. Set any you are not ready for to inactive.
  </Accordion>

  <Accordion title="Am I billed for inactive listings?">
    No. Billing follows active status, so a listing sitting in the inactive tab is not billed and your agent will not respond there.
  </Accordion>

  <Accordion title="What happens if a property is in the wrong group?">
    Your guest could receive information meant for a different location, and any routing based on that group would reach the wrong team. Please check your groups before you move your agent off supervised replies.
  </Accordion>

## What to do next

Once your listings are in, you are ready to connect the channels your guests message you on. If you are not sure whether your property management system already brings your OTA conversations with it, see [Does your PMS carry your OTA messaging?](/setup/channels/does-your-pms-carry-ota-messaging).
